Build the agenda

One list. Every line at its level.

Type the agenda the way you think about it. Tab nests a line under the one above it, Shift+Tab brings it back out, and the numbering follows.

Indent to nest

Headings, items and sub-items are all lines on one list, told apart by level. Drag to reorder. Add a plain text line for wording that sits under an item without a number of its own.

Your numbering, per level

Set how each level is numbered and styled once, in settings: 1, A, i, bold headings, whatever your board prints. Bold, italic or underline a single line when it needs to stand out.

Templates for each board

Save the shape of a regular meeting for each board. A new agenda starts from it, so call to order, roll call and adjournment are already there.

Start from the PDF you have

Upload last month's agenda or paste a link to it. Govably AI reads it into lines at the right levels, keeps the numbers exactly as printed, and you edit before you approve.

Each item carries its department, its presenter and any notes. Click a cell and type, like a spreadsheet that knows it is an agenda.

When you approve, Govably assembles the agenda packet as one PDF: a cover page with the meeting date and location, a table of contents, then each item followed by its own supporting documents, in agenda order.

✓ PDF attachments are merged in as real pages, right behind the item they belong to.
✓ Images become full pages. Anything that can't be embedded gets a page with a link to the file.
✓ Files sent in with an agenda request ride along onto the item. Nobody re-attaches anything.
The public portal

Your public portal is one page per community, with a calendar of meetings that residents can filter by board. Approve an agenda and it goes up there. Revert it to draft and it comes down.

Supporting documents get their own Files view, each one labelled with the agenda item it belongs to.

After the meeting, the approved minutes post to the same meeting page, beside the agenda they came from.

Agenda requests

Staff send items in. You decide what goes on.

Department heads submit agenda items through forms you build. Each request moves through the approvers you choose, and lands with you, ready to place.

✓ Forms you build. One form per kind of request, each with the standard fields (title, department, board, target meeting, background, attachments, and an optional suggested motion) plus any of your own: text, dropdowns, amounts, dates, checkboxes, file uploads, line-item tables.
✓ Approvals that always end with you. Route a form through a finance director, an administrator, or no one at all. The clerk is always the last step, and placing the item is the approval.
✓ Everyone knows where it stands. Submitters see who has their request now. Approvers can send it back with a note, and submitters can withdraw it. Email goes out at each step, and a reminder follows when a request sits in review for more than two days.
✓ Ready for agenda. Approved requests wait in one list. Drop one onto the agenda at the spot and level you want, and its title, department and files come with it.

Do I need the agenda tools to use Govably for minutes?
No. Govably is a minutes platform first. If you build your agenda somewhere else, upload the agenda PDF or paste a link to it and Govably AI reads it into the meeting, so the minutes still start from your agenda. The agenda tools are an add-on for clerks who want the agenda and the minutes in one place.
Can Govably follow our numbering?
Yes. Every line on the agenda sits at a level, and you set how each level is numbered and styled. When you import an agenda from a PDF, Govably keeps the numbers exactly as they were printed.
Who can submit agenda requests?
Department heads and other staff get their own login to submit requests on the forms you build. Each form can route through approvers you choose, and the clerk always has the last step: placing the item on the agenda.
